Vacancy Announcement: Receptionist

ANSAB is currently seeking a dynamic, energetic and career-oriented female candidate for the position of Receptionist in its head office, Kathmandu. The Receptionist will work under general supervision of the Manager of Finance and Administration (MFA), and will be mainly responsible for the following:

Main Responsibilities

  1. Handle Incoming and outgoing calls, fax, scan
  2. Handle the visitors and maintain the record of visitors and external inquiries
  3. Maintains file and a database of newspaper clippings, articles and external coverage related to ANSAB and or its partner organization
  4. Regular update and maintain database for official contacts such as media person, press, publication houses
  5. Ensure day to day management and cleanliness of office sites including working rooms, lobby, kitchen, garden
  6. Ensure compliance of official rules, regulation and policies including timely submission of timesheet, leave approval form, travel approval form, purchase order
  7. Ensure effective management and functioning of office  equipments such as photocopy, printer, computer, fax, telephone, attendance machine
  8. Regularly collect and compile quotations for office purchase, hotel bookings, vehicle hiring, ticket booking
  9. Update and maintain database and staff file with all required documents such as citizenship card, photo, certificates, id card
  10. Maintain the central contact information system of all the office contacts and ensure timely update and circulation among related personnel

Essential Skills and Qualifications

  • At least an Intermediate / 10+2 Level in business, social science or administrative management
  • Minimum of 2 years of work experience with ability to manage multiple tasks concurrently
  • Prior experience in front desk, secretarial and administrative management
  • Strong organizational skills and attention to details
  • Ability to plan and prioritize work duties as well as work competently under pressure and tight deadlines
  • Proficiency in the use of information technologies and good computer skills, particularly in the use of MS Office Package (MS Word, MS access, MS Excel)
  • Fluency in both written and verbal Nepali and English
